Template
You're rewriting the same thing every time. The proposal, the onboarding email, the contract, the project brief. A template is a pre-built format or structure you reuse—so you're not starting from scratch. It speeds up delivery and ensures consistency. It's a building block for documentation and service standardization: same structure, filled in for each client.
Same output, less time. Without templates: every proposal is written from zero; every onboarding email is drafted fresh. With templates: you have a proposal structure (scope, timeline, fee, terms), an onboarding sequence, and a contract shell. You customize the details; the structure is done. Templates reduce variation and make delegation easier—someone else can fill in the template if the format is clear. They're the practical sibling of checklist and SOP.
Reuse the structure. Fill in the specifics. Same quality, less time, easier to hand off.
Where to use templates
Proposals and scope. One structure: problem, approach, deliverables, timeline, investment, terms. Fill in the client name, their situation, and the numbers. Proposals go out in hours, not days. Scope document and contract terms can be templates too—same clauses, customized for the engagement.
Onboarding and delivery. Welcome email, intake form, kickoff agenda, status update. Same sequence every time; you or a VA fill in the blanks. Templates plus a checklist (when to send what) turn onboarding into a repeatable process.
Internal work. Project brief, review form, handoff doc. When your team uses the same structure, knowledge transfer is easier and quality is consistent. Templates are the skeleton; SOP and documentation add the steps.
What breaks
Template that's too rigid. If the template doesn't allow for the two or three variations you actually need (e.g. project vs. retainer), you'll keep rewriting. Have one template per offer type, or clear "if X, use this block" so you're not forcing a square peg.
No one uses it. If the template lives in a folder and everyone still drafts from scratch, it's decoration. Put it where the work happens—in the proposal tool, the email tool, the project tool—and make it the default. "New proposal" = open template.
